How to manage Meta Ads leads without losing follow-ups

Meta Ads can flood a pipeline with leads — and most never get followed up. This is a practical workflow for Indian agencies to handle Meta Ads leads without losing them in CSV exports and WhatsApp.

Why Meta Ads leads go cold

Three reasons: (1) leads land as CSV exports nobody opens promptly, (2) the only realistic outreach channel in India is WhatsApp but it lives in a separate app, and (3) nobody owns the lead so it falls between team members.

Step 1 — Export the lead CSV

From Meta Ads Manager, download the lead form CSV daily or weekly. Aim for under 24 hours from lead capture to outreach — conversion drops fast after that.

Step 2 — Bulk import into AgencyCRM

Open Leads → Bulk Import, upload the CSV, map columns (name, phone, email, campaign) once and reuse the mapping. AgencyCRM normalises Indian phone numbers and flags duplicates so the same lead is not messaged twice.

Step 3 — Tag the source

Set source = Meta Ads on every imported lead. This makes ad-channel reports possible later and helps your team know how to open the conversation.

Step 4 — WhatsApp within an hour

Click the WhatsApp button on each new lead. The pre-filled message includes the lead's name and your campaign-specific copy. Set the next follow-up date inside the CRM the moment you send the message.

Step 5 — Qualify and convert

Update the status as you talk: New → Contacted → Qualified → Proposal → Won. Tie a proposal to the lead. Once won, convert to a client and add a retainer if it is recurring work.

Reporting on Meta Ads conversion

Filter leads by source = Meta Ads and status = Won to see which campaigns actually produced clients. Use that data to decide where to spend the next month's ad budget.
