How to import leads from Excel into a CRM

If your agency lives in Excel, this is the cleanest way to migrate years of lead data into a CRM — without creating duplicates or losing context.

Clean the spreadsheet first

Before importing, ensure each lead has a name and at least a phone or email. Remove empty rows. Keep one lead per row. If you have multiple sheets, consolidate into a single sheet — most CRMs import one sheet at a time.

Normalize Indian phone numbers

Indian numbers often mix formats: +91, 91, 0 prefix, 10 digits. AgencyCRM normalises these automatically during import, but it helps if your sheet at least keeps the country code consistent — fewer surprises later.

Map the columns

Open Leads → Bulk Import in AgencyCRM, upload your file and map columns: Name, Phone, Email, Source, Status, Notes. Save the mapping mentally so you can re-use the same export format next time.

Handle duplicates

AgencyCRM detects duplicates by phone or email. Choose between Skip (keep existing leads as-is) or Update (overwrite with new data). For a one-time migration, Skip is usually safer.

Preview and commit

Preview the first few rows to confirm the mapping is right. Then commit. After the import, the system shows imported, duplicate and invalid counts so you know exactly what landed.

Add a source tag

After import, batch-tag leads with their source (Meta Ads, Google Ads, WhatsApp, Referral). This makes future reports useful instead of one big undifferentiated pool.
